KB0038 – Excel Add-in Migration Path

The Promenta Excel Add-in that is used for Journal postings is being migrated to use a different connection component in 2025. This article explains the background and also gives timelines and actions for customers

Version 3.2.N versions and earlier :  end support from 31st December 2025

Background

The Promenta Add-in enables a more convenient integration point for users to submit journal requests directly from their Excel spreadsheet.

Version 3.2 (and earlier) of the Excel Add-in uses the third-party WebDriver component to enable communications with SAP. In the case of Microsoft Edge the driver is called EdgeDriver and is supplied by Microsoft. In the case of Google Chrome the driver is called ChromeDriver and is managed as an opensource project under the direction of Google.

The Webdriver (Edge or Chrome) must be updated every time there is an update of Edge/Chrome and this happens around every 4 weeks. Although Promenta have an autoupdate mechanism this can still be inconvenient. 

Promenta have introduced a new component from 3.3.1 –  PromentaCA – which can replace the WebDriver. PromentaCA offers more performance, is automatically in line with latest Edge and allows additional features not available in WebDriver.

Promenta will be migrating all customers to PromentaCA by the end of 2025. This will need Add-in version 3.3.1 and above

Promenta Add-in Versions

With regard to WebDriver/PromentaCA support the following versions apply 

Version 3.2.N (and earlier) : WebDriver only. These are the legacy versions that most customers will be using. They contain only support for WebDriver. Support ends 31/12/2025

Version 3.3.N : Both WebDriver and PromentaCA . This version still supports WebDriver but also enables the PromentaCA component. It is an intermediate version and allows switching between the two components via the ini file. The WebDriver can be used as a fallback during 2025 only. Customers must switch to using PromentaCA by 2026.  Released January 2025

Version 4.N.N  : PromentaCA only. This version does not support WebDriver and uses PromentaCA exclusively. Released in March 2026

Migration Plan

New customers

Customer going live Q1/2025 : Continue with your current version (3.2.N or 3.3.N) but plan on migration

Customer going live Q2/2025 : Deploy and test version 3.3.N from February 2025 onwards. You should activate the PromentaCA component but can use WebDriver as a fallback. Plan on migration.

Customers going live after Q2/2025 :  Deploy and test version 3.3.N    

Existing customers

If applying patches from Promenta in Q1 or Q2 2025 : Update to use version 3.3.N and activate PromentaCA. 

If applying patches from Q3/2025 onwards : use version 3.3.N with PromentaCA 

All customers

You must be using version 3.3.N WITH  PromentaCA app by the end of 2025. Promenta will be removing support for previous versions by end of 2025.

How to migrate

The migration process is designed to be very smooth with minimal disruption. Promenta will include free support for like-for-like updates as part of your ongoing support contract during 2025. Note that free support does not apply if you are also changing functionality or applying custom enhancements. 

In most cases you will need to do the following steps :

  • Update your Promenta SAP installation to the latest available version. This would include optional components such as Netweaver Portal packages.
  • Generate the modified ini file from the Promenta SAP system (Transaction /PROMENTA/EXCEL_INI) and select the “PromentaCA” option
  • Update the Add-in of your installed user system using the Promenta installer. You are recommended to use the Combined Installer as then the PromentaCA app will also be deployed
  • Perform regression testing

If you have custom installations that you built yourself for distribution via an automated process or internal “App store” then you will need to update those processes/scripts.
